The five steps of a workplace analysis


With our holistic workplace analysis in the THINK phase, we generally proceed in five different steps: Kick-Off Meeting, Workshops, Online Survey, Space Calculation, and Office Guideline. This approach enables us to precisely determine your needs and individual requirements for the new working environment.

A shared understanding of the current situation is essential to establish a solid foundation for a structured and goal-oriented project planning process. During an initial consultation, challenges are identified and addressed at an early stage in order to align expectations realistically and minimise the risk of misunderstandings or later adjustments. The needs assessment creates transparency regarding objectives, requirements and constraints, enabling all stakeholders to prepare effectively for the subsequent project phases.

During the management-level kick-off, strategic goals and main objectives for the new space are defined through impulse presentations and workshops. In addition, the project team is established and decision-making structures are clarified. This clear allocation of roles and responsibilities is essential for a smooth and efficient project process.

As part of an impulse presentation, we first outline the project’s objectives and explain the future integration of the Change Champions into the process. The aim of this step is to actively involve employees through representative individuals and thereby ensure broad acceptance of the upcoming change process. This approach ensures that the resulting work environment reflects actual needs and is therefore functional and well accepted in everyday use.

The Change Champions act as a voice for the workforce, engaging in regular exchange with us and being trained by our workplace consultants to become true New Work experts.

Through online surveys, we consolidate all information relevant to the new space planning, such as current space utilisation, employees’ work types, meeting behaviour, and the organisation’s growth rate. The workforce is also included in the surveys in an anonymised manner.

Based on the results of the workplace analysis and the defined workplace strategy, we develop a Workplace Strategy Brief, which serves as the guiding document for the layout planning in the DESIGN phase. The Workplace Strategy Brief includes guidelines for the office layout, a summary of meeting behaviour and the required number of workstations, as well as the specific requirements of individual teams and the company’s corporate design guidelines.
